QuantFusion is committed to protecting the privacy of its users. The following Privacy Policy outlines how we collect, process, and store the personal data of users of our website.

I. General Provisions

2. Personal Data

Processing Personal data is processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016, on the protection of individuals with regard to the processing of personal data (GDPR).

3. Purpose of Data Processing

The personal data collected will be processed for the following purposes:

• Providing electronic services by quantfusion.ai,
• Handling inquiries submitted to the AI assistant (chatbot) on the Administrator's websites,
• Verifying the user's identity,
• Executing the service contract,
• Communicating with the user (including responding to inquiries),
• Marketing of products and services of the Administrator (if the user has given consent),
• Website analytics and statistics for optimization purposes,
• Providing access to industry news and educational materials, provided the user has consented.

4. Legal Bases for Data Processing

Personal data will be processed based on:

• The user's consent (Article 6(1)(a) GDPR),
• The execution of the contract (Article 6(1)(b) GDPR),
• The legitimate interests of the Administrator (Article 6(1)(f) GDPR).

II. Data Processing Period

1. Duration of Personal Data Processing

Personal data will be processed for as long as necessary to fulfill the purposes, including the period during which the user will use the services of quantfusion.ai. After the user ceases using the services, data may be stored for up to 3 years for the purpose of claiming or protecting legal rights. Specific retention periods for data from conversations with the AI assistant are set out in Section IV.

2. Consent for Data Processing

Data processed based on the user's consent will be stored until the consent is withdrawn. Withdrawal of consent does not affect the lawfulness of processing that took place before the consent was withdrawn.

III. Use of Contact Data

1. Collection of Contact Data

When using contact forms, signing up for newsletters, subscriptions, registering accounts, or using other services available on the quantfusion.ai website, users may be asked to provide contact data such as name, surname, email address, phone number, social media profile links, etc.

2. Purpose of Processing Contact Data

Depending on the user's location, they may have the following rights:

• Communication with the user: Responding to inquiries, resolving issues, customer support.
• Sending newsletters and marketing information: If the user has given consent, contact data will be used to send newsletters, special offers, industry news, promotions, and other marketing materials regarding the Administrator's products and services or those of its partners.
• Notifications about new materials: If the user subscribes to courses, webinars, or other educational services, contact data will be used to send related information.

3. Legal Bases for Processing Data

• For sending newsletters, offers, and marketing materials, the data will be processed based on the user's consent (Article 6(1)(a) GDPR).
• For responding to inquiries or fulfilling the contract, the data will be processed based on the contract (Article 6(1)(b) GDPR).

4. Consent for Data Processing

• Users may voluntarily give consent to receive marketing messages (e.g., by checking a relevant box in the newsletter subscription form).
• Users have the right to withdraw consent at any time, which does not affect the lawfulness of processing based on consent prior to its withdrawal.
• Every marketing email contains an option to unsubscribe from the newsletter (opt-out).

5. Data Protection

The Administrator applies appropriate security measures to protect contact data from unauthorized access and misuse. Contact data will not be disclosed to third parties, except as specified in the Privacy Policy.

IV. AI Assistant (Chatbot) on the Administrator's Websites

1. Scope

An AI assistant (chatbot) operates on the Administrator's websites, including asystent.quantfusion.ai, answering questions about our offer. This section describes the processing of personal data in connection with its use.

2. Data processed

• the content of messages entered by the user in the chat window and the assistant's replies,
• contact details voluntarily provided during the conversation (first name, phone number or email address), if the user chooses to leave them,
• the date and time of the conversation and technical data necessary to operate it.

Providing any data in the chat window is voluntary. Using the assistant does not require providing personal data.

3. Purposes and legal bases

• answering questions about our offer - the Administrator's legitimate interest in serving persons interested in the offer (Article 6(1)(f) GDPR),
• passing on contact details in order to respond to an inquiry - steps taken at the request of the data subject prior to entering into a contract (Article 6(1)(b) GDPR),
• improving the quality and security of the assistant - the Administrator's legitimate interest (Article 6(1)(f) GDPR).

4. Data recipients

The content of the conversation is transferred to the provider of the language model that generates the replies: Anthropic PBC, acting as a processor under a concluded agreement. Contact details collected during the conversation are transferred to our email delivery provider: Resend. Conversation data is stored on servers located within the European Union.

5. Retention period

The content of conversations is stored for 90 days from the date of the conversation and is then permanently deleted. Contact details provided by the user for the purpose of a return contact are stored for as long as necessary to handle the inquiry, and no longer than 24 months.

6. Automated processing

The assistant's replies are generated automatically by a language model on the basis of a knowledge base built from the content of our offer. The assistant does not make decisions producing legal effects concerning the user, nor does it carry out profiling within the meaning of Article 22 GDPR.

7. Please do not provide special category data

The chat window is not intended for transmitting health data, financial data, passwords or other special categories of data within the meaning of Article 9 GDPR. Please do not include such information in the conversation.

8. User rights

The user has the rights described in the „User Rights" section, including the right to request deletion of the conversation content. Requests can be submitted to ceo@quantfusion.ai.

V. Data Sharing

1. Data Recipients

Personal data may be shared with:

• Entities cooperating with the Administrator (e.g., hosting services, online payment providers),
• Entities providing analytical services (e.g., Google Analytics),
• Providers of artificial intelligence services processing the content of conversations with the AI assistant,
• Providers of email delivery services,
• Entities providing courier or postal services.

2. Transfer of Data Outside the EEA

Personal data may be transferred to entities located outside the European Economic Area (EEA), if external tools are used that provide adequate data protection measures.

VI. User Rights

Users have the right to:

• Access the content of their personal data,
• Rectify data,
• Erase data (right to be forgotten),
• Restrict data processing,
• Data portability,
• Object to data processing,
• Withdraw consent at any time (without affecting the lawfulness of processing prior to the withdrawal of consent).

2. Complaint to the Supervisory Authority

The user has the right to lodge a complaint with the President of the Personal Data Protection Office if they believe their data processing rights have been violated.

VII. Data Security

The Administrator takes appropriate technical and organizational measures to protect personal data against unauthorized access, disclosure, alteration, or destruction.

VIII. Changes to the Privacy Policy

1. Changes to the Privacy Policy

The Administrator reserves the right to amend this Privacy Policy. Users will be informed of any changes via a notice on the quantfusion.ai website.

2. Effective Date

Changes to the Privacy Policy will come into effect on the date of their publication on the quantfusion.ai website.
